Privacy Policy (PDPA)

1. Who we are

Ouruz Bisnis (“we”, “us”) provides meeting minutes and related business tools. This notice explains how we process personal data under Malaysia’s Personal Data Protection Act 2010 (PDPA).

2. What we collect

When you register or update your profile, we may collect:

  • Identity & contact: full name, email, contact number
  • Account security: password (stored hashed)
  • Company details for letterhead/PDF: company name, registration no., address, company phone, logo
  • Service content you create: meeting notes, audio uploads/transcripts, minutes drafts
  • Technical logs needed for security and support (e.g. consent time, IP at consent, device/session tokens)

3. Purpose of processing

We process your data only to:

  • Create and manage your account (web and app)
  • Provide AI minutes, repository, and export (PDF/DOCX) with your company branding
  • Secure the service, prevent abuse, and provide support
  • Meet legal or regulatory obligations where required

We do not sell your personal data.

4. Legal basis / consent

Registration requires your explicit consent to this Privacy Policy. You may withdraw consent or request access/correction/deletion by contacting us, subject to legal retention needs (e.g. security logs, completed contracts).

5. Disclosure

We may share data with trusted processors only as needed to run the service (e.g. hosting, email, AI transcription/composition providers), under confidentiality and security obligations. We may disclose data if required by law.

6. Security

We use reasonable technical and organisational measures: HTTPS in production, hashed passwords, access-controlled accounts, and least-privilege handling of meeting content. No method of transmission or storage is 100% secure; please use a strong unique password.

7. Retention

Account and company profile data are kept while your account is active. Meeting minutes and uploads are kept until you delete them or close the account, unless longer retention is required for legal or security reasons.

8. Your rights / Support & data deletion

Subject to PDPA, you may request to:

  • Access or correct your personal data
  • Limit processing or withdraw consent where applicable
  • Delete your account and associated meeting content (subject to legal retention)
  • Ask about our data handling practices
